1. What this policy covers

helpmypc.ai is an AI-powered computer diagnostic and support platform. It helps users describe computer problems, receive guided troubleshooting advice, monitor a Windows PC through My PC Health where enabled, and, where needed, request repair contact from an approved local repair partner.

2. Personal data we collect

We may collect and process the following types of personal data:

  • Account information, such as your name, email address and postcode if provided
  • Login and authentication information
  • Messages and diagnostic information you submit through the chat
  • Computer or device details you choose to provide, such as make, model, operating system, CPU, GPU, RAM, storage, error messages or symptoms
  • Uploaded images used for diagnostic purposes
  • Chat history and previous issue history
  • My PC Health device and alert information where you pair a Windows PC
  • Repair escalation and repair lead information
  • Repair contact consent or refusal choices, including timestamp and session references
  • Partner job status and outcome notes where a repair lead is handled through the partner portal
  • Technical information, such as IP address, browser type, device type, operating system and usage logs
  • Analytics and usage data showing how the platform is used
  • Communication data, such as emails or support requests you send to us

We do not intentionally collect special category data, such as health information, religious beliefs or political opinions. Do not send passwords, recovery keys, passkeys, bank or card details, private screen contents or unnecessary personal documents through the platform.

3. How we use your data

We use personal data to:

  • Provide AI-powered computer diagnostic assistance
  • Create and manage user accounts
  • Remember relevant device or issue history to improve future support
  • Operate My PC Health where a user pairs a Windows PC
  • Improve diagnostic accuracy and platform performance
  • Provide customer support
  • Handle repair escalations and repair contact requests where appropriate
  • Check service-area eligibility for approved repair partners
  • Send service-related messages
  • Monitor security, prevent misuse and protect the platform
  • Maintain business, support, audit and legal records

We do not sell personal data.

4. AI usage and automated support

helpmypc.ai uses artificial intelligence to analyse information provided by users and generate diagnostic suggestions.

AI responses are automated and may not always be accurate, complete or suitable for every situation. Users should take reasonable care before following technical advice, especially where actions may affect important data, hardware, software, accounts or security.

Where a problem cannot be safely or confidently resolved through AI guidance, the platform may suggest hands-on repair contact.

5. Lawful basis for processing

We process personal data under different lawful bases depending on the situation.

Contract or service delivery

We process data where necessary to provide the helpmypc.ai service, including account access, chat diagnostics, My PC Health, repair lead administration and user support.

Legitimate interests

We process data where necessary for our legitimate interests, including improving the platform, maintaining security, detecting misuse, remembering relevant device or issue history, managing repair lead records and developing better diagnostic workflows.

We only rely on legitimate interests where we believe this is reasonable and does not override your data protection rights.

Consent or customer agreement

We may rely on consent or a clear customer request where you are asked whether you are happy for a local approved repair partner to contact you about a repair. We also rely on consent where required for optional marketing communications or optional non-essential cookies.

Legal obligation and records

We may process data where required to comply with legal, regulatory, tax or accounting obligations, or to keep support and audit records.

6. Device memory, chat history and My PC Health

helpmypc.ai may remember device information and previous issues linked to your account to make future support more useful.

This may include details such as your computer type, hardware specification, operating system, previous problems, previous outcomes and My PC Health alerts where you have paired a device.

You may request deletion of this information by contacting support@helpmypc.ai.

7. Uploaded images

If you upload an image for diagnostic purposes, we may process that image to help identify the issue.

Uploaded images should only show the relevant computer, screen, error message or hardware. You should avoid uploading images containing unnecessary personal information, passwords, private documents, financial information or images of other people.

8. Repair leads and repair partner contact

If helpmypc.ai identifies a problem that may need hands-on repair, you may be asked whether you are happy for a local approved repair partner to contact you about repairing your device.

Repair-related information may include:

  • Your account identity if signed in
  • Your name if provided
  • Your phone number or email address if provided for repair contact
  • Your full postcode, postcode area or general area
  • A summary of the computer issue
  • Relevant diagnostic notes and device details
  • Uploaded images or screenshots where relevant and safe
  • Repair lead status, assignment, acceptance, decline, completion and outcome notes
  • Your repair contact consent or refusal choice, timestamp and related session or lead reference

We may use this information to:

  • Check whether a repair partner covers your area
  • Enable admin review of repair requests
  • Help the approved repair partner assigned or admin-approved for that lead understand the issue
  • Allow an approved repair partner to contact you where you have agreed to that contact
  • Maintain audit, security and customer support records

Approved local repair partners are separate businesses from AI Diagnostic Systems Ltd unless separately stated. AI Diagnostic Systems Ltd provides the helpmypc.ai platform, triage and routing/admin support. It is not automatically the repair contractor.

Help Computer Centre is one approved local repair partner involved in the early rollout. Other approved local repair partners may be used where suitable, and repair routing may consider service area, location, suitability, availability, job fit and admin review.

9. Service-area and radius matching

We may use your postcode or general area to check whether an approved repair partner covers your location. A full postcode may be used to estimate distance or service eligibility. This helps connect you with a suitable approved repair partner where available and avoid offering repair contact where a partner is outside their practical service area.

10. Customer choice about repair contact

You can say no to repair contact. If you say no, helpmypc.ai will not pass the repair contact request on for partner contact. Support, security, audit or admin records may still exist where needed to operate the platform and evidence what was requested and answered.

11. Sharing with approved repair partners and service providers

We may share necessary information with:

  • An approved local repair partner assigned or admin-approved for a repair lead
  • Service providers who help operate helpmypc.ai

Service providers may include providers for:

  • Website hosting and infrastructure
  • Authentication and account management
  • Database storage, including Supabase
  • Email or support tooling
  • Analytics
  • AI processing and infrastructure
  • Postcode lookup or location matching services, such as Postcodes.io
  • Security and monitoring

These providers may process personal data on our behalf. Where required, we use appropriate contractual and technical safeguards.

12. International transfers

Some service providers may process data outside the United Kingdom or European Economic Area.

Where this happens, we take reasonable steps to ensure appropriate safeguards are in place, such as adequacy arrangements, standard contractual clauses or equivalent protections.

13. Data retention

We keep personal data only for as long as necessary for the purposes described in this policy.

As a general guide:

  • Account data is kept while your account remains active
  • Chat and diagnostic history may be kept while your account remains active, unless deleted earlier
  • Device memory and My PC Health data may be kept while your account remains active, unless deleted earlier
  • Repair leads, repair contact consent events, partner actions and outcome notes may be kept for support, business, audit and legal record purposes
  • Technical logs and analytics data are kept for a limited period for security, diagnostics and service improvement
  • Legal, tax or accounting records may be kept where required by law

You may request deletion of your account data by contacting support@helpmypc.ai. We may need to retain some records where required for legal, security, audit or dispute-handling reasons.

14. Security

We take reasonable technical and organisational measures to protect personal data from unauthorised access, loss, misuse or disclosure.

No online service can be guaranteed to be completely secure, but we work to protect user data using appropriate security controls, access restrictions and infrastructure providers.

15. Your data protection rights

Under UK data protection law, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to certain processing
  • Request restriction of processing
  • Request a copy of your data in a portable format

16. Marketing communications

We will only send marketing communications where we have a valid lawful basis to do so.

Service-related messages, such as account, security, support or repair lead messages, may still be sent where necessary.

17. Children

helpmypc.ai is not intended for children under 13.

If we become aware that we have collected personal data from a child under 13 without appropriate consent, we will take steps to delete it.

18. Cookies

helpmypc.ai uses first-party cookies and similar browser storage for account authentication, security, guest chat continuity, guest usage limits, auth and issue handoff, and progressive web app/service worker caching.

We also store first-party operational events in Supabase, including records used for service operation, security, abuse prevention, repair consent records, test telemetry and product/service improvement.

We do not currently use advertising or marketing cookies, Meta Pixel, Google Analytics, Google Tag Manager, Microsoft Clarity, Hotjar, PostHog, Plausible, Vercel Analytics or similar third-party tracking tools. If optional analytics or marketing tools are introduced later, they should be subject to consent or settings before activation.
